HEAD OF ADMIN/OFFICE MANAGER – POSITION FILLED

Position: Office Manager / Head of Admin

 Reporting to:  The Head Coach and Commercial Manager

 Accountable to: The Head Coach and Commercial Manager

 Location: Park Gymnastic Centre, Severn Drive, Dothill, Wellington, Telford TF1 3LE, Shropshire

 Role Description:

As part of the club’s senior management team, the Head of Admin will be jointly responsible for the planning and control of all Park Wrekin management activities, excepting those related to financial planning and control, and excluding all gymnasium or coaching-related activities

Areas of Responsibility:

Office Staff Management

Managing the retention, development and appraisal of all office staff in compliance with UK employment, PAYE and taxation law

Marketing and New Member Acquisition

Managing activities that will achieve the membership acquisition and retention targets

Supplier Relationships

To manage all centre supplier relationships (in conjunction with the relevant coaches regarding gymnasium equipment)

To organise and stock the office

To control and organise the ordering and selling of British Gymnastics merchandise

To manage all the club’s insurance policies

To administrate and update health and safety policies, child protection policies, safeguarding and DBS

Member Communications and Invoicing

To manage the membership and waiting list database and manage customer enquiries

To implement structured member communications

To facilitate and manage quarterly member invoicing and be involved in the collection of fees

To manage British Gymnastics membership insurance for coaches and gymnasts

To facilitate and manage all invoicing and booking of external facility hire, including parties

To organise and manage the reception desk and resulting queries

 Likely Experience:

At least 5 years’ relevant working experience

Proven experience and expertise in some, or all, of the areas of responsibility defined above

Experience of digital and social media marketing/communications would be an advantage

 Performance Measurement:

Annual appraisal by the Head Coach and Commercial Manager

Office staff management – Staff retention, administrative efficiency

New member acquisition – volume and cost-efficiency (targets TBA)

Member satisfaction related to job role responsibilities

Receivables collection – value and speed

Non-membership related income – relevance, quality and values

 Working Hours:

40 hours per week

 Salary & Bonus:

£20,000 – £25,000
